There are many important details in these agreements — we’ll walk you through what a typical one looks like and what to pay attention to in the documents!

What is an Esthetician Studio Rental Agreement & Why is it Important?

An esthetician studio rental agreement is a legally binding contract between the beauty professional (the renter) and the owner of the salon space (the landlord). Essentially, it’s a document that allows independent estheticians to provide services to their clients in the studio space in exchange for rent. 

The studio rental agreement is crucial because it protects both parties involved by laying out the terms and conditions upfront — covering things like the cost of rent, what’s included in the rental rate, and the lease length.

Each rental agreement will vary depending on the space. But a standard esthetician studio rental contract should include the following: 

  • Date of the agreement
  • Name and address of the salon + unit number you will be renting
  • First and last name of the owner/company (lessor)
  • First and last name of the renter/s (lessee/s)
  • Start and end date + total length of agreement
  • Rental rate
  • Rent due date and payment frequency (daily, weekly, monthly, etc.)

Key Elements of a Studio Rental Agreement

Before signing a studio rental agreement form, there are a few things to consider in more detail. 

Rent

An esthetician studio rental contract should detail the total cost of the space as well as the frequency of payment due (if rent is weekly, monthly, etc.). It should also specify what’s included in the rent, like Wi-Fi, parking, utilities, amenities, and access to shared spaces in the building (think: laundry facilities or a reception area). Duration of lease

Location

Your beauty salon suite rental should be in a location that’s easily accessible. Before signing a rental agreement, find out the parking situation and if the studio offers decent walkability. You’ll also want to ensure your target market or current clientele lives, works, and frequents the area.

Studio rentals in areas with other businesses that people frequent to run errands are also ideal (think: gyms, grocery stores, pharmacies, etc.). The layout and the location of the building are also important to consider. Lyric is the owner and successful CEO of Locs by Lyric. Well-versed in multiple techniques to start, maintain, and repair locs, Lyric has been a loctician for six years. This focus has led her to specialize in everything from crochet maintenance and interlocking to loc detoxes and bleach/color.

The 3 Most Important Documents to Review When Renting Salon Space

Congratulations! You found the perfect salon space for your business. The location is ideal, the rates are affordable, and the community fits your vibe. The hardest part is over. But there are still a few important things to pay attention to when you put pen to paper on a salon studio rental agreement. 

While paperwork isn’t exactly the most glamorous part of renting salon space, it is necessary to protect your beauty business. Plus, it can save you from some (costly) annoyances in the future. Read on to discover the top three most important documents you should review when renting a salon space. 

1. Your Salon Studio Rental Agreement

From rules to rates, review all the fine details of your salon studio rental contract before signing the agreement. Not only does this contract give you legal protection, but it also sets expectations between you and your salon space host – ensuring you’re both on the same page so you can avoid any future misunderstandings. 

Generally, a standard salon studio rental agreement will have the following details: 

  • The rate of your salon suite 
  • The length of the rental term and payment schedule (weekly, bi-weekly, monthly, etc)
  • How you can use the salon space (determine what’s permitted and what’s not allowed) 
  • The terms by which either you or the salon can cancel the contract
  • The hours of operation and when you can access the salon space
  • Rental rules of the salon suite & general environment(code of conduct, cleanliness, etc.) 
  • A clause that defines your status as an independent contractor and not an employee of the company from which you’re renting the salon space (for the IRS)

Additionally, you’ll want to know the following about your salon studio rental agreement: 

  • What expenses are included in the rates (utilities, Wi-Fi, maintenance, parking, etc.)
  • If anything needs to be paid upfront (security deposits, first/last month’s rent, etc.)
  • If the rent includes any additional perks and amenities (furnishings, towel service, continuing education, salon manager, etc.)
  • What access you’ll have to certain areas (restrooms, laundry facilities,breakrooms, etc.)
  • If any business insurance is included or offered

Don’t be afraid to ask questions about your rental contract. Now’s the time to be assertive and learn all the ins and outs of your agreement – understanding the specifics now will help you make the right choices and avoid any miscommunication or confusion later on.

2. Business Licensing Requirements

Along with your rental contract, there are certain licenses and certifications you may need to run your own business, depending on which state you’re operating in. 

The most common licenses and certifications required include:

  • Business License – This registers your business entity with the appropriate city and/or county
  • Establishment License – This registers the location of your business with the State board that governs your profession
  • Seller’s Permit/Resell Certificate – Often required when selling retail products

You can contact your state’s Department of Labor for more info on the requirements for an independent beauty professional. 

What type of business you establish when renting salon space can also affect your tax amount and liability. Different types of business setups include: 

  • Sole proprietorship – This is one of the quickest and simplest ways to get started as an independent contractor, but it also comes with the most liability. There is no separation between you and your business. And, everything you make is taxed on an individual level.
  • Limited Liability Company (LLC) – This essentially provides legal protection between you and your business. You’ll need to register with your state’s business regulator and local agencies to create an LLC. Taxes for your business are filed separately from your own personal tax returns. 
  • Corporation (Inc.) – A corporation also protects you from liability for your business. You must also file with your state and local authorities to set this one up. However, remember that corporations are taxed differently and have different record-keeping requirements. 

Pro tip: Work with a tax professional or accountant familiar with the beauty industry, so they are well-versed in your situation. Understanding the licensing and business facets of a salon space rental agreement can help you avoid any regulatory pitfalls.

3. Insurance Policies for Your Salon Suite and Business

As an independent beauty professional, you can run your business however you want. But with independence comes the responsibility of liability. That’s why choosing an insurance policy that’s catered to beauty pros and covers all (not just some) of the services you provide your clients is critical. 

The two main types of insurance liability coverage for renting salon space are: 

  • General liability – Referred to as “slip and fall insurance,” general liability handles the cost of property damage or injuries that happen in your salon studio (think: a client trips and injures themself on their way to your chair)
  • Professional liability – Also known as “malpractice insurance,” professional liability covers the actual beauty services/treatments that you provide your clients

In addition to the liability policies listed above, you can also take extra precautions with a comprehensive plan that offers protection for things like: 

  • Rental damage (in the event anything happens in your salon space including fire, flood, etc.)
  • Stolen/damaged equipment (to protect the tools of your trade) 
  • Identity protection (to protect against a compromised identity from running payments online, using social media for your business, etc.) 

Supplemental Insurance (such as Aflac) is also available to provide additional coverage or payments to you if you are injured and cannot work or run your business. 

Once you are protected, you can rest easy knowing your livelihood is covered. Now, it’s time to focus solely on your craft!

More and more beauty professionals are moving away from the traditional salon or spa setting. Instead of working for someone else, they choose to be their own boss by renting a salon studio. This freedom gives them complete control, taking their career in an entirely new and exciting direction. 

Making the leap of faith to run your own business in a salon studio can seem intimidating. While the endeavor is exciting, you’ll also have to navigate new challenges. Knowing what to have in place ahead of time can make the transition easier and set you up for success.

Whether you’re a new or established beauty professional, here are a few things to consider when renting a private salon studio.

Clientele for Your Salon Studio

A client list is important for renting a salon studio. Ideally, you should be fully booked for at least two weeks or more consistently. Keep in mind when you move to a new location, you may lose a small amount of your clientele (about 10%). However, you will be able to set your own prices (i.e., charge more than you are currently) and keep 100% of your service income.

But how exactly do you convince your clientele to follow you? One way is to inform them of the advantages of a salon suite: a curated customer experience, celebrity-level one-on-one treatment, and a more comfortable, private space. 
You’ll also want to communicate and keep them involved before, during, and after the transition. Share videos and pictures of the surrounding area of your future location — highlight places they may want to go before or after their visit. Share images of the new decorations and furniture in your salon space. The more your client feels like they are on this journey with you, the more willing they’ll be to follow you to your new salon home.

How to Market Your Services – From Lash Extensions to Balayage

If your client list isn’t where you need it to be, it’s time to hone your marketing skills and strategies. Stylists and estheticians who know how to promote specialized services — like color corrections and ombre microblading — will build their clientele faster. In addition to your website, there are some important marketing platforms to give your business a presence online. Setting up business accounts on Yelp, Google My Business, and Meta Business Suite (along with Instagram) is crucial to help clients find you when they’re searching for a service online.  

There are also specific strategies that are effective at growing your business.  A few of these include: 

  • Taking videos or images of your clients. Give them copies of the pictures and tag them on social media so their friends can see your work. 
  • Keeping your customers up-to-date via email, texts, and social media posts. 
  • Creating business cards to pass out. Keep some on display in your salon studio for your clients to take and share. 
  • Purchasing local search ads via Meta Business Suite or Google Ads (not Yelp). 
  • Launching a referral program for your most loyal clients.

Some salon studio rentals offer business-building classes and a network of like-minded pros. This support can help you develop and grow your brand — all while 

staying on top of the latest industry trends.

Factor these expenses into your prices, so you know how much you’ll need to make each month to hit your goals. (Remember to include that you will keep 100% of your service income and product sales.)

Setting the right price for your services can be a delicate balance. While lowering your prices so your clients will follow you might be tempting, it’s best not to sell yourself short. Instead, share your enthusiasm with your customers and make them excited to come along with you on your new venture.  

You may want to increase your prices to cover the new business costs in your first year. For your current clientele, make the increase slight to help keep them during your transition. A higher increase can be made with new clients, as they’re not familiar with your old prices. 
If you’re not looking to raise your prices, another option is to find a salon space for rent that takes care of all the startup expenses, like utilities, Wi-Fi, and laundry services.

Tools and Software to Use for Your Business

When moving from a traditional salon or spa to a private salon suite, you must figure out what tools, products, and software you’ll need to run your business. In particular, processing payments and appointment scheduling will be a significant part of your day-to-day. 

To make it easy for your clients to book your services, consider using booking and payment processing apps like GlossGenius, Square, or Booksy. These apps let your clients book from Google, Instagram, and Facebook, in addition to your website. They also enable you to collect booking deposits and multiple payment types for your services. 

Many of these apps have built-in client management features, so you can communicate and keep track of a customer’s visit history all in the same place. This gives you valuable insight into the clients and services, bringing you the most revenue!

How to Get the Bookkeeping Right

When renting a salon studio you’ll want to run a tight ship regarding your finances. Things to consider include the following: 

  • Reviewing your rental agreement, ensuring you understand it thoroughly and everything is in order. 
  • Keeping your paperwork and other records meticulously organized and tracking your earnings and expenses is especially important since you’ll be filing taxes for your business. 
  • Working with a good accountant familiar with independent contractors is a bonus, especially if they have experience working with beauty pros. 

While some beauty pros use a good old-fashioned spreadsheet to keep all their ducks in a row, accounting software such as Quickbooks is an efficient way to handle your finances. These applications offer many features beyond tracking your day-to-day income, such as mileage tracking, receipt capture, tax preparation assistance, and even business funding and loan applications.
